Privacy Policy

This Privacy Policy describes how UXbeam ("UXbeam," "we," "us," or "our") collects, uses, and shares information when you use our website and services at www.uxbeam.com. UXbeam is operated by Sandra White. Contact: support@uxbeam.com.
1. Information We Collect.
Account Information. When you register for an account, we collect your name, email address, and password. If you sign in with Google, we receive your name, email address, and Google account identifier from Google.
Research Project Data. We store the content you create or upload when using our research tools, including information architecture files, navigation trees, task descriptions, card sort items and categories, and analysis results.
Participant Data. When participants complete a research study shared by a researcher, we collect their responses (navigation paths, card sort results) and an optional, self-entered identifier, which may be an ID, name, or email if the participant chooses to enter one. Beyond that optional field, we do not collect participants' names, email addresses, or any other personally identifying information. Participant study pages contain no analytics or session-recording scripts.
Public Website Usage. On our public pages (marketing pages, blog, guides, and this page) we record limited first-party usage events: the page viewed, the time, the referring site's domain, and campaign labels if present in the link you followed. These events contain no cookies, no persistent visitor identifiers, no IP addresses, and no device fingerprints, and we do not use them to reconstruct an individual's browsing journey or for advertising. We do not use third-party analytics, advertising, or session-recording services on public pages.
Optional Product Diagnostics (signed-in researchers only). If — and only if — you give explicit consent inside the signed-in product, UXbeam uses a session-diagnostics service (Smartlook) to record how the researcher interface is used, so we can detect technical failures and confusing workflows. These recordings capture interface interactions such as pages, clicks, and scrolling. The parts of the interface that display your study content are excluded from recordings, and text you type into inputs, email addresses, and numbers are masked and not captured. Recording never occurs on public pages, login or signup pages, or participant study pages. Declining does not affect your access to UXbeam in any way, and you can withdraw consent at any time in Privacy & Diagnostics Settings, which stops future recording. Recordings are kept by our diagnostics provider for a limited retention period.
Server Logs. Our hosting and infrastructure providers transiently process IP addresses in ordinary server logs as part of operating the service. UXbeam does not intentionally store raw IP addresses in its own application analytics.
2. How We Use Your Information. We use the information we collect to:
- Create and manage your account and provide the Service
- Process your research projects and generate analysis results
- Send transactional emails such as password resets and account notifications
- Monitor and improve the performance and reliability of the Service
- Understand, through the limited events described above, how the Service is used so we can improve it
- Comply with legal obligations
We do not use your information for advertising or retargeting, and we do not sell your personal information.
3. How We Share Your Information. We share information with the following categories of service providers who help us operate the Service:
- Email delivery — to send transactional emails
- Hosting and infrastructure — to run the application and store data
- AI service providers — some optional UXbeam features use third-party artificial-intelligence services to analyze or improve study text and generate summaries or suggestions. Only the content needed for the requested feature is sent. UXbeam does not send account identifiers or participant responses for these features, and does not use customer content to train public AI models.
- Authentication — Google, to enable Google Sign-In
- Product diagnostics — Smartlook, only for signed-in researchers who have given the consent described in Section 1
Each provider receives only the information necessary to perform its function. Some providers process data in the United States or other countries; where they do, we rely on their standard data-processing terms. We may also disclose information when required by law or to protect the rights and safety of UXbeam and our users.
4. Cookies. UXbeam uses cookies only to keep you signed in to your account (essential session cookies). We do not set advertising cookies, and our public pages set no analytics cookies at all. If you decline or clear cookies, public pages keep working; signing in requires the session cookie.
5. Data Retention and Account Deletion. We retain your account and project data for as long as your account is active. You can delete your account at any time from your Account page: your name, email, and sign-in credentials are removed from your account record, you can no longer sign in, and your studies' participant links stop working. Research content and anonymous study responses may be retained in de-identified form, and residual copies may persist in routine backups for a limited time. For full erasure of remaining research content, contact support@uxbeam.com. Anonymized, aggregated data may be retained indefinitely. Diagnostics recordings (Section 1) are retained by our provider for a limited period and are not kept indefinitely.
6. Security. Connections to UXbeam are encrypted in transit (HTTPS), passwords are stored as salted hashes, and account data is accessible only through authenticated sessions. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
7. Your Rights. Depending on your location, you may have the right to access, correct, export a copy of, or request deletion of your personal information. To exercise any of these rights, contact us at support@uxbeam.com. We will respond to your request within a reasonable timeframe.
8. Children's Privacy. The Service is not directed to children. Under our Public Beta Terms, you must be at least 18 to create or operate a UXbeam account. We do not knowingly collect personal information from children under 13. Researchers are responsible for obtaining legally valid parent or guardian consent when their own studies involve anyone under 18, as described in the Public Beta Terms. If you believe we have inadvertently collected information from a child, please contact us and we will promptly delete it.
9. Changes to This Policy. We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by an in-product notice. The updated policy applies from its posted effective date.
